Administrative Assistant

The Administrative Assistant (AA) is an important member of our team at Askennonia Senior Centre,
possessing proficiency across many of the organization’s functions and the ability to handle diverse
tasks effectively. Creativity and ideas are encouraged and welcomed. Responsible for assisting the
Executive Director (ED) and Executive Assistant (EA) to accomplish a wide variety of tasks & goals
relevant to the operations at the Centre.


Volunteer Support
• Assist to recruit, train, coordinate and recognize volunteers who deliver a myriad of programs
and contribute to fundraising at the Centre.
• Keep accurate records related to volunteering as necessary to funders and for recognition
purposes by ensuring volunteers are entering data in My Senior Centre.
• Help train new reception volunteers on policies and My Senior Centre database/sales program.
• Ensure daily sales are balanced and secure money. Reconcile daily debits, cash & cheque to income.
• Support volunteers whenever necessary.
Special Events
• Help the team coordinate special events ensuring that details are well-planned, volunteers are in
place and that events run as smoothly as possible. Share ideas for new events.
• Assist with promotion, shopping, setup, preparation, cleanup or any necessary duties to ensure
that events run smoothly. There may be some events that require work outside of the Centre
hours, for which AA will be compensated in time in lieu.
• Be part of the team to monitor active grants with ED & EA to ensure commitments, budgets and
timelines are being met.
Clerical
• Learn admin & data base systems within the Centre, to fill in and/or train volunteers at reception.
• Provide clerical support to volunteers & conveners as required.
• Keep an accurate database of members.
• Assist with production and distribution of weekly newsletter/eblast.
• Knowledge of all Microsoft Office Programs (Excel, Publisher, Word, Power Point etc) to assist as needed.
• Keep records as requested by ED, for example, donations & receipts, ticket sales, inventories, etc
• Contribute to the smooth operation of the office and provide coverage during public hours.
• Create documents to assist ED in monitoring and streamlining processes for success.
Communication and Promotion
• Hold monthly (or bimonthly) Orientation Meeting for members.
• Utilize various channels including social media, newsletters and press releases to reach and engage the community.
• Monitor social media channels and increase presence to increase awareness of Askennonia.
• Prepare print and online advertising as needed to comply with grant details.
• Design/create surveys for members and others to monitor satisfaction or other viewpoints.
Other Duties
• Assist with all fundraising efforts.
• Clean as required to maintain safe, organized reception area, office and kitchen.
• Supervise special projects as required.
• Other duties, as determined by the Executive Director.


Education: Should have minimum of Ontario Secondary School Graduation Diploma or equivalent
Hours: Mon to Fri 8:30 am to 4:00 pm
